Subscribing to reports and documents

You can have a report or document automatically delivered to your History List, your My Subscriptions page, your mobile device (using MicroStrategy Mobile), your printer, or to a network location. You can schedule deliveries to take place on a regular schedule or when a specific event occurs. To do this, you must create a subscription to the report or document. Subscriptions allow you to view reports or documents when you need them.

When you schedule a report or document to be sent to a folder on your network or via email, you can choose to break, or "burst" the data into multiple files based on the attributes used to group data in the report or document before they are delivered to the network folder. This includes documents with multiple layouts, provided that each layout contains the attributes used to break up the document. Prerequisite

To have a report or document delivered to a dynamic recipient list, you must first create a report that provides the addresses in the dynamic recipient list. For steps, see the Advanced Reporting Guide.

To subscribe to a report or document

1 Do one of the following:
For a report, click the name of the report to run it.
For a document, edit the document in Design Mode or Editable Mode.
To edit a document in Design Mode, from a folder, right-click the document and select Edit. If the document is open in Presentation Mode, click the menu icon Menu icon (the hamburger) on the right, and select Edit.
To edit a document in Editable Mode, from a folder, right-click the document, point to Run as, and select Editable.
2 From the Home menu, point to Subscribe to, and select one of the following:
To have the report or document automatically delivered to your History List on a schedule, select History List.
To have the report or document automatically delivered to a mobile device with MicroStrategy Mobile, select Mobile.
To have the report or document automatically sent to an email address on a schedule, select Email.
To have the report or document automatically delivered to a folder on your network on a schedule, select File.
To have the report or document automatically sent to a printer on a schedule, select Printer.
To have the report or document automatically sent to an FTP server on a schedule, select FTP.

The Subscribe dialog box opens.

3 From the Schedule drop-down list, select a schedule or event on which to have the report automatically delivered. The schedule choices available are created in the MicroStrategy Developer Schedule Manager. For steps, see the Scheduling Jobs and Administrative Tasks chapter in the System Administration Guide.
4 Specify additional options, such as whether to include the report or document in a zip file, whether to stop delivering the report or document after a specific date, and the file format in which to deliver the report or document. 5 For a report or document with prompts, all prompts are displayed. The selections you make for these prompts are used when the report or document is delivered.
6 Click OK.
7 To verify that you are subscribed to the report or document, at the top of the page, click the MicroStrategy icon MicroStrategy icon, then select My Subscriptions. A list of the reports and documents to which you are subscribed is displayed.
